Executive Assistant

Location: London/Remote (hybrid working model)
Duration:
18 months contract (temporary role)
Rate:
circa £150-200 per day (negotiable based on experience, INSIDE IR35)

We are seeking an experienced Executive Assistant to provide high-level administrative and operational support within a complex, fast-paced pharmaceutical environment. This role supports senior clinical and global programme leaders and plays a key part in enabling effective governance, collaboration, and delivery across the organisation.

Key Responsibilities

  • Provide comprehensive diary, travel, and meeting management support for senior clinical and global programme leaders
  • Coordinate governance and committee meetings, including logistics, documentation, attendance tracking, and follow‑up actions
  • Support onboarding of new hires, including IT setup, scheduling introductions, and general orientation
  • Manage contracting administration and payment follow‑up for external healthcare professionals (HCPs)
  • Handle expenses, purchase orders, congress registrations, and ad hoc administrative activities as required

Skills & Experience

  • 5+ years' experience in an Executive Assistant or senior administrative role
  • Proven experience working within a pharmaceutical or life sciences company
  • Strong organisational skills with the ability to manage multiple priorities and senior stakeholders
  • Experience supporting global teams, committees, or clinical/medical functions
  • Confident using corporate systems for travel, expenses, meeting coordination, and documentation
