About the Role
We're looking for a highly organized, detail-driven Project Administrator to support a large capital project team in Huntsville, AL. This isn't your typical admin role - you'll be the central point of coordination across project managers, contractors, hiring managers, and functional partners, keeping onboarding, tracking, documentation, meetings, and logistics running smoothly in a fast-paced, multi-stakeholder environment.

What You'll Do
Meeting & Event Coordination
- Facilitate meeting setup, take notes, and distribute meeting minutes
- Coordinate and support large cross-functional and leadership meetings
- Plan and execute quarterly team-building events and other activities as needed
- Support in-person meetings with A/E firm partners, including occasional travel
Onboarding & Workforce Administration
- Develop and maintain onboarding checklists and materials
- Coordinate with IT, security, facilities, and hiring teams on new hire setup
- Communicate first-day expectations to new contract hires
- Escort new hires through badge and laptop issuance
- Ensure required training and learning plans are assigned and scheduled
- Support contractor lifecycle activities from onboarding through offboarding
Project Tracking & Documentation
- Maintain project SharePoint sites, document libraries, and folder structures
- Maintain project and staffing trackers in Smartsheet
- Support version control, document organization, and governance materials
- Keep project information current, accurate, and accessible to stakeholders
Procurement & Travel Support
- Serve as Concur delegate for travel arrangements, expense reporting, and travel authorizations
- Support ordering of goods and services through Ariba
- Assist with network access approvals
- Maintain office supplies and coordinate ordering as needed
General Project Support
- Support project leadership with status updates, reporting, and organizational materials
- Assist with workspace and office coordination as the team scales toward full onsite presence in Q1 2027
- Other duties as assigned
What You Bring
- 2+ years of experience in an administrative, project coordination, or program support role
- Strong understanding of Microsoft Office Suite
- Excellent communication and interpersonal skills, with the ability to work across multiple stakeholders
- Strong organizational skills and attention to detail in a fast-paced, evolving environment
Nice to Have
- Experience supporting engineering, construction, manufacturing, pharmaceutical, or other large capital project teams
- Experience with SharePoint site administration and document management
- Experience with Smartsheet or similar project tracking tools
- Experience with Concur and Ariba
- Experience with event planning and coordination
- Ability to manage competing priorities across multiple project managers and functional partners
